Activating Your
Sub-Account

Everything you need to create, configure, and hand off a client sub-account in AI Boost — the AIBS way.

Go to Agency View → Sub-Accounts
Agency Dashboard → Sub-Accounts (left nav) → + Add Sub-Account
Start here
  • From your agency dashboard, click Sub-Accounts in the left sidebar — this is the agency-level view, not inside any client account.
  • Click + Add Sub-Account in the top right corner of the page.
  • A creation form opens — fill in client details in the next steps.
AIBS tip: Always create sub-accounts from Agency View, never from inside an existing sub-account. This keeps your structure clean and avoids permission issues.

Enter client business details
Business name · Address · Timezone · Industry · Contact info
Required
  • Business name — use the client's legal or DBA name exactly as they operate.
  • Address + timezone — critical for calendar accuracy and appointment reminders. Wrong timezone = automations firing at the wrong time.
  • Industry / niche — select the closest match. AI Boost surfaces relevant templates based on this selection.
  • Contact email + phone — use the primary business contact, not your AIBS details.
Watch out: Timezone cannot be easily changed after setup without affecting existing calendar appointments and automation timestamps. Get this right the first time.

Attach a Snapshot at creation
Agency Dashboard → Account Snapshots → + Create New Account
Highly recommended
  • Go to Agency Dashboard → Account Snapshots and click + Create New Account next to your AIBS snapshot instead of creating a blank sub-account.
  • This pre-loads all your pipelines, workflows, calendars, and automations automatically — no manual setup required.
  • Snapshots cannot be removed once applied. Make sure your AIBS master snapshot is clean before deploying to a client.
  • AI Boost also includes industry-specific default templates (law firms, medical, real estate, etc.) — use these as a starting point if you don't have a custom snapshot yet.
AIBS tip: One clean master snapshot reduces client onboarding from 10+ hours to under 20 minutes. Build it once, deploy it forever.

Switch in and configure branding
Sub-Accounts list → Switch → Settings → Business Profile + Domains
Inside sub-account
  • Click Switch to Sub-Account from the agency dashboard list to enter the client's workspace.
  • Go to Settings → Business Profile — upload the client's logo, set brand colors, confirm business hours.
  • Go to Settings → Domains — connect the client's custom domain for funnels and website pages. Without this, pages use a generic AI Boost subdomain which looks unprofessional.
  • DNS propagation takes 5–15 minutes. Test all pages load correctly before going live.

Connect phone number (LC Phone)
Settings → Phone Numbers → + Add Number → A2P Registration
Required for SMS
  • Go to Settings → Phone Numbers inside the sub-account and purchase a local number matching the client's area code (~$1.15/month per number).
  • Enable Missed Call Text-Back from this screen — one of your fastest, highest-impact quick wins for clients.
  • For US clients sending marketing SMS, complete A2P 10DLC registration at Settings → Phone Numbers → A2P Registration.
A2P 10DLC is mandatory for US clients. Skipping this will get messages flagged or blocked by carriers. Don't skip this step.

Connect email (SMTP / Mailgun)
Settings → Email Services → Connect Provider → Verify Domain
Required for email
  • Go to Settings → Email Services — connect Mailgun or your preferred SMTP provider for reliable deliverability.
  • Using AI Boost's default sending without a dedicated SMTP provider significantly lowers email deliverability. Set this up for every client.
  • Verify the sender domain inside Mailgun or your SMTP provider before sending any campaigns or automation emails.
Mailgun is the most commonly used with AI Boost and integrates in under 10 minutes. SendGrid works well too.

Add client user with restricted permissions
Settings → My Staff → Add Employee → Role: User
Access control
  • Go to Settings → My Staff → Add Employee inside the sub-account.
  • Set user type to "User" — not Admin. AIBS retains full admin and backend control.
  • Enable only: Conversations Calendars Opportunities Reporting
  • Block access to: Automations Workflows Settings Integrations
Users added in My Staff are also visible at the Agency level under Team Management — manage all client users from one place.

Use the Sub-Account LaunchPad to verify setup

Verify
  • AI Boost's LaunchPad appears on first sign-in and can be reopened anytime from the dashboard — it's a built-in guided checklist of setup tasks with video walkthroughs.
  • It auto-detects what's been completed (phone connected, email set up, domain live) and shows what's still pending.
  • Content adapts based on user role — what the client sees differs from what you see as admin.
  • Use LaunchPad during your client training call — screen share + Product Tour creates a repeatable onboarding experience every time.

Test everything before going live
Submit test lead · Verify SMS + email · Check automations · Test calendar
QA check
  • Submit a test lead through the funnel or form — confirm it appears in the pipeline as a new opportunity.
  • Verify the welcome SMS and email fire correctly with the right merge fields populated (no broken {{contact.first_name}} variables).
  • Book a test appointment and confirm reminders trigger on schedule.
  • Call the client's number and don't answer — confirm missed call text-back fires within 1 minute.
  • Confirm funnels and pages load correctly on the client's custom domain.
Never skip QA. Broken automations in front of real clients destroy trust immediately. 20 minutes of testing saves hours of cleanup and unhappy client calls.
